now, I have a question, what written materials are folks handing out at
their final crew meetings?

We typically have this meeting the weekend before our final gear review and
load-out session.

Listing of the expedition itinerary with contact numbers for outfitters,
motels etc. (we drive out four days prior to Philmont and do other stuff in
the Taos area). Probably repetitious (we have passed this out at least once
before) and maybe not necessary since most of the crew have cell phones, but
that way everyone should know where we will be when.

"Important Information" sheet with crews identified by crew number; Philmont
emergency phone number; Philmont address and encouragement to send mail to
participants but no goodies; cell phone numbers for all advisors but notice
that they will not be available when on the trail; name of local contact
person if we need to get word back to parents of if they see something on
the news (like forest fire etc.)

Final review of med forms to make sure all signatures are there and copy of
insurance attached

Complete releases - liability releases for activities in Taos, Philmont
Talent release; anything that needs a signature; and general overall
expedition release authorizing leaders to sign in loco parentis anything
else not covered and other things.

Review on money required - meals that are not covered in fee, Tooth of Time
Traders, other activities, and banker system.

And answer any questions or comments from parents.

We try to keep everyone up to speed as we go along, but there always seems
to be someone who "didn't get the memo" or just wants to make sure. We try
to be very accommodating and make sure that everyone leaves knowing that we
will take very good care of their darlings. And I am not being sarcastic,
because we will!
